Privacy Policy

Effective:  August 31, 2020

Privacy Policy

Purpose

We, Our Lady of the Greenwood of the Archdiocese of Indianapolis, have created this Policy because we respect your privacy which is especially important to us.   This policy was developed for you to understand what data we collect and how it is collected, used, and managed on our website.  The essence of this Policy covers our treatment of information that is gathered by this website, including personally identifiable information.  This Policy does not apply to information collected by any third-party websites or services.

Third Party Disclosure

Personally identifiable information on individual users will not be sold or otherwise transferred to unaffiliated third parties without the approval of the user at the time of collection.

We may disclose your personally identifiable information in special cases when we have reason to believe that disclosing this information is necessary to identify, contact or bring legal action against someone who may be causing injury to or interference with (either intentionally or unintentionally) Our Lady of the Greenwood rights or property, other Archdiocesan users, or anyone else that could be harmed by such activities.  Our Lady of the Greenwood may disclose user information when we believe in good faith that the law requires it.

Information We Collect and Why We Collect It

Information You Provide Us

We collect your personally identifiable information when you fill out one of our forms, when you express an interest in obtaining information about us or our services, when you participate in any activities on our website or otherwise contacting us.

You control the amount and type of information you provide to us when using our website. The personally identifiable information that we collect depends on the context of your interaction with us within our website, the choices you make and the services and features you use.

You may decide to submit or send us personally identifiable information by the methods listed below:

  • Email Information
  • Contact Form Information  –  If you decide to fill out and submit information on any of our online forms, we may ask specific information based on the type of form you fill in and submit to us; for example a registration form.
  • Payment Information.   If you choose to contribute a donation to Our Lady of the Greenwood, we collect payment information through our third-party payment processor.  All payment information is securely stored by our third-party payment processor and we do not have access to your sensitive information, such as credit card number or bank information.
  • Respond to a survey – which may consist of general information or comments on a specific topic.

Automatically Collected Information

Use of Cookies

Users also should be aware that non‐personally identifiable information and data may be automatically collected through the standard operation of the Our Lady of the Greenwood Internet servers or using “cookies.” Cookies are small text files a website can use to recognize repeat users, facilitate the user’s ongoing access to and use of the site and allow us to track usage behavior and compile aggregate data that will allow content improvements. Cookies are not programs that come onto a user’s system and damage files. Generally, cookies work by assigning a unique number to the user that has no meaning outside the assigning site. Users should be aware that we cannot or do not control the use of cookies or the resulting information by third parties hosting data for Our Lady of the Greenwood. If a user does not want information collected through the use of cookies, there is a simple procedure in most browsers that allows the user to deny or accept the cookie feature; however, users should note that cookies may be necessary to provide the user with certain features available on our website.

IP Addresses

IP addresses are used by your computer every time you are connected to the Internet. Your IP address is a number that is used by computers on the network to identify your computer. IP addresses are automatically collected by our web server as part of demographic and profile data known as “traffic data” so that data (such as the web pages you request) can be sent to you.

Usage Information and Geolocational Data

We collect usage information.  We may collect information about the browser you are using.  We might look at what site you came from or what site you visit when you leave our website. Our website also gathers information through our server logs which may include the date and time of visits, the pages views, time spent at our site and clickstream data.

If you are using a mobile app, we may collect location information, including precise location, if you have enabled location services in your device settings.  We may also collect device identifiers.

Analytical Information

We may directly collect analytical data or use third-party analytic tools to help us perform/collect statistical analyses of user behavior and characteristics to assist us in measuring interest in and use of the various areas of our website and to inform ministries of such information.  These tools collect information sent by your browser, mobile or other devices.  We collect and use this analytical information in aggregate form such that it cannot reasonably be manipulated to any individual user.

Security Logs

The IP address of visitors, user ID of logged in users, and username of login attempts are conditionally logged to check for malicious activity and to protect the website from specific kinds of attacks.  Examples of conditions when logging occurs include login attempts, log out requests, requests for suspicious URLs, changes to site content, and password updates.  This information is retained for 30 days.

How Do We Use the Information That You Provide to Us?

We use personally identifiable information collected from you for purposes of managing our parish activities, for providing services you have requested and to allow you to interact with us and within our website.

We also use your personally identifiable information to:

  • Respond to your requests, inquiries, comments, or concerns and send you administrative communications.
  • Notify you about changes or updates to our services and/or ministries, including those belonging to related third parties.
  • Conduct research and measurement activities.

Sending Us An Email

If you choose to correspond with us through email, we may retain the content of your email messages together with your email address and our responses. We provide the same protections for these electronic communications that we employ in the maintenance of information received online, mail and telephone. This also applies when you register for our website, sign up through any of our forms using your email address.  We may forward your email to other employees who are better able to answer your questions.  We may also use your email to contact you in the future about our programs and/or ministries that may be of interest.

Email Policy

We are committed to keeping your email address confidential.  We do not sell, rent, or lease our subscription lists to third parties, and we will not provide your personally identifiable information to any third-party individual, government agency, or company at any time unless strictly compelled to do so by law.

We will use your email address solely to provide timely information about Our Lady of the Greenwood.

We will maintain the information you send via email in accordance with applicable federal law.

Choice/Opt-Out or Change Your Contact Information

Our site provides users the opportunity to “opt-out” of receiving communications from us and any of our ministries through a special online form.  You may choose to receive only specific communications or none.

You may also update your contact information previously provided to us through another online form.  You cannot remove yourself from our database, but you can prevent unwanted communication

Who We Share Your Data With?

We may share your information with service providers to perform functions and process user data in helping to provide our services, consistent with this Privacy Policy.

Our Lady of the Greenwood discloses all the categories of third-party services that it may use to collect, or process users as follows:

Our hosting service conducts most data processing activities required to provide you with our services.  However, we do engage third-party service providers to assist with supporting our services, such as cloud storage providers, email service providers, database, etc.

Where a third-party processes user data on our behalf (e.g., a hosting service provider), it is subject to security and confidentiality obligations consistent with the Privacy Policy and applicable law.  Where a third-party processes user data on its own behalf, its processing is subject to its own Privacy Policy and applicable law.

Additionally, our website may contain links to other third parties. Please understand that those websites have their own policies, and we do not accept any responsibility or liability for your use of those websites or any products or services available there.

Displaying Embedded Content from Other Websites

Articles on our website may include embedded content hosted on external platforms directly from the pages of Our Lady of the Greenwood’s website and interact with them, for example our calendar of events, videos, other articles, etc.  Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged into that website.

Handling Payments and Donations

Unless otherwise specified, Our Lady of the Greenwood processes any payments by credit card, bank transfer or other means via external payment service providers. In general, and unless where otherwise stated, users are requested to provide their payment details and personally identifiable information directly to such payment service providers. Our Lady of the Greenwood is not involved in the collection and processing of such information: instead, it will receive a report from the relevant payment service provider as to who gave for the day/month and whether payment has been successfully completed.
